Background

In March 2023, a political party in the European Parliament organised a political event in Warsaw, Poland.

The event was a creative space for socially and environmentally conscious individuals. It focused on creating solutions to concrete problems facing many citizens across Europe, such as the war in Ukraine, migration, the energy crisis, the inflation crisis and the unfolding climate challenges. A series of panels, workshops and activities were designed to provide solutions and ideas that could be implemented throughout Europe.

The meeting brought together hundreds of politicians, activists, scientists and citizens engaged in civic and environmental issues from different European cities. The programme was based on three pillars: climate policy and the sustainable economy, social justice and the rule of law, and the protection of minorities and women’s rights.

The event aimed to share campaign ideas for change, develop new policies and connect like-minded individuals across the region. In difficult times, the initiative served as a beacon of hope, encouraging solutions, dialogue and discussion while demonstrating that the organisers are committed to delivering tangible, modern solutions to Europe’s problems.

Challenge

The organisers of the political event presented us with the following challenges:

  • To promote the event and increase the number of attendees.
  • To reach and engage politically minded, progressive young Poles.
  • To generate excitement and curiosity about the political party and its programme in Poland.

What did we do?

Before the event we encouraged each of the invited VIP guests (well-known activists, intellectuals and political figures) to prepare a short, engaging manifesto or story related to the event’s key topics (e.g. economy, transport, women’s rights and energy). These manifestos/stories were teasers for the event, generating interest and excitement. Additionally, we shared a teaser of a special report, which was available at the event. The manifestos and the report teaser contained content that led to real, tangible and clear solutions, free from political fluff.

We were also responsible for inviting relevant media, VIPs and civic influencers to the event and confirming their attendance. We monitored all media – including print, radio, TV, online and social media – for a set of keywords. This enabled us to not only monitor the response and act quickly if any negative publications appeared, but also to identify additional journalists who could cover our key topics and approach them with our PR materials. We translated press releases about the event and circulated them to the media. We translated event collateral into Polish, as well as FAQs and other accompanying documents, and distributed these to the media, as well as arranging interviews.

During the event we were responsible for answering all questions from the Polish media with client approval and for managing the press room. Our representative was present at the event to identify any newsworthy topics and sell them to the media. We also provided a photographer.

After the event our PR services involved preparing and distributing post-event materials to the media, as well as creating a brief presentation report on the activity for the client.

Scope of work

  • Translate the press release about the event into Polish and distribute it to relevant media outlets, including top-tier, local and national outlets, as well as those covering related topics such as politics, the environment and civic and social issues.
  • Follow up with the media to secure as many PR publications as possible.
  • Approach relevant top-tier media outlets, both national and local (political, environmental, civic and social issues), and offer them interviews with representatives, activists, and event guests. Translate the answers into Polish and ensure they are published accordingly.
  • Create a list of key media outlets and journalists for the event, and invite relevant people. Follow up with them to confirm their attendance at the event.
  • Create a list of key local influencers and invite relevant influencers to the event. Follow up to confirm their attendance.
  • Create a list of key local and national political, environmental, civic and social organisations for the event, and invite relevant members. Follow up with them to confirm their attendance.
  • Translate pre- and post-event PR materials into Polish and localise them for journalists and other invited individuals, then distribute them to the media via email. Ensure they are well received and acted upon.
  • Set up a media monitoring service to monitor all PR publications in print, online, on the radio and on TV, as well as on social media.

Results

We secured an interview with one of the leaders of the political party in a top-tier Polish media outlet. We also ensured over 30 publications in Poland’s top-tier media, including Super Express, I.pl, WNP.pl, Dziennik.pl, WP.pl, Onet.pl, Interia.pl and Polsat News, among others.
